IWICATALOG - Product states

In iWiCatalog there are several types of status that can be applied to a product: Design status and Production status.

These two statuses affect the management of the product by different programs such as catalog generation or export of product files.

🙋‍♂️ The product state: Design/Production

The Design and Production states represent the state of the product in iWiCatalog.

📋 Design (color code grey) : the product in in design when it is not finished to be filled in. It still exists missing information before it can appear in the catalogs. We can speak of a state of "draft". Only the test catalogs will contain products in design. It will not be available on your production environment and therefore will not be searchable and orderable by opticians.

🏭 Production (color code blue) : the product is in production when it is to appear in the catalogs generated by iWiCatalog. This means that it must be correctly filled out in order to appear in a valid catalog. It will be available for sale as soon as you have published your catalog.

You can change the status of a product at any time by using the buttons located at the bottom right of the screen of the product sheet:

  • Put into design: this button allows to put a product from Production to Design

  • Put into production: this button allows to put a product from Design to Production

🙋‍♂️ The product state: Modified/Deleted

The Modified/Deleted status is the action code. This data is available for every product.

It is used to indicate to the software that is going to read the catalog, if the product must be presented or not to the optician.

This data is is editable in the Commercial tab of the desired product.

🔵 Modified: the product has been added to the catalog or it has been modified since the last generation of the catalog. The selling software must therefore offer it for sale.

🔴 Deleted: the product is no longer available to order. It must be removed from the products in the catalog. The sales software will then make it unavailable for sale. However, the product will still be present in iWiCatalog in case you want to use it again.

Definitive deletion: the red cross at the beginning of each product line in the product table allows to permanently delete a product (see screenshot below).

🙋‍♂️ Validity dates

The start and end dates allow you to open or close a product commercially.

  • Start date (optional): allows to anticipate products in a catalog. The products will be visible by the optician from the date indicated. If the data is empty then the date indicated on the generated catalog will be taken as a proof.

  • End date (optional): allows you to indicate the end date of marketing of the product. The products will no longer be visible by the optician from the date indicated. If the data is empty then the date indicated on the generated catalog will be taken as a proof.

When exporting a catalog, if a product is in Modified status when the expiration date has passed, the program will automatically change the status to Deleted so that the information is correctly transmitted to the opticians.

Every night our programs analyze all the products present in the database in order to modify the status of the products according to their expiration dates. As soon as this date is exceeded then the state of the product is put in Deleted. If this is not the case, do not hesitate to ask us).
