IWICATALOG - Export (EN)

The Export section located in the top menu of your screen allows you to set up and perform catalog exports in different formats.

All exports must be done through two tabs:

  1. catalog: if the catalog does not exist then you will have to create it. Indeed, if no catalog exists then exports are not possible.

  2. Export: allows you to indicate the choice of the catalog to export, the format and the various settings.

🔴 Export tab

This section allows you to export the catalogs created in the previous step. There you can select the format but also the settings related to it.

The Export frame

Fill in this frame if you want to select the catalog to export using the following filters:

  1. The product type (allows you to filter the list of available catalogs from the drop-down list)

  2. The catalog you want to export

  3. The export format. For some you will have to select the version to generate.

  4. The export file’s name as well as its extension (filled in by default). The naming is self-selected with the following rule: CatalogName_Format_DateTimeMinutes. You can modify it at your convenience.

The Parameters frame

Fill in this frame to define what should be included in the final catalog. The possibilities of settings depend on the format you selected previously.

  1. The purchase price (optician price): select the desired price to be included in the catalog. The list takes into account the price definitions you have determined in the settings for the different product types.

  2. The selling price (recommended retail price): strongly recommended not to use this option for the French market. Select the price you want to include in the catalog. The list takes into account the defined prices in the parameters of the different product types.

  3. Include elliptical diameters: it is not possible to include elliptical diameters because some exports do not handle the double information between round and elliptical diameters on the same glass.

  4. The catalog language: allows you to translate the catalogs during an export. This part is used when translations are made in your catalog.

  5. The currency: allows you to select the currency used in the country for which the catalog is intended for.

  6. The choice of the exported product code (that of the manufacturer or distributor)

  7. The choice of the exported order code (the order code or the internal code)

  8. Sort by: allows you to choose to sort in the catalog by name or code.

  9. Include products in deleted condition in the catalog. This information takes into account the date of historisation of the catalog. When exporting, the status (changed/deleted) is taken into account but also the expiration dates.

Optimeyes specifications:

  1. Generate combinations ranges: (if active, each range will have its own identifier. Used if two ranges of the same type overlap, some PMS do not handle this case). By default not selected, the ranges will be defined in the following way:

a. 001: Stock

b. 002: Manufacturing

c. 003: Out of range

2. Grouping the manufacturing grids by range: with this export parameter you can merge several different ranges of the same type in Optimeyes in the case of a multi-range catalog. If your catalog includes for the same lens a grid in Stock D+1 and another one in D+3 it will be necessary to activate this tick so that these ranges are separated in the catalog.

SF6 specifications:

  1. Additional prices 1, 2 and 3: Available only for the SF6 format which allows up to 5 prices in the catalog. It is 5 prices depending of course on the regulations of the country)

  2. Country, Header Information, Contact, Price per cent, Comment: This is information that will be included in the Head.Dat

EDI-Optique

EDI-Optical validations are destined for Optimeyes (lenses, Contact lenses, frames) and Opto11 (lenses, Contact lenses, frames and accessories) formats. It is necessary to be a adherent to the association to have a catalog validated.

  1. Automatic sending: As soon as the export is completed, we send the catalog to EDI-Optics in order to submit it for validation.

  2. If the catalog is validated : Allows you to inform EDI-Optics that, following validation, the catalog can be distributed to opticians. Test catalogs should not be set up in this way.

 

🔴 The logs tab

This section includes all the exports carried out.

Here is the information in the export Logs table:

  1. The note icon shows you the export report.

  2. The gear allows you to display the parameters used for the export.

  3. The representative of a certificate indicates the status of the validation process (Optimeyes/Opto11).

Indicates that the catalog is being validated

b. The button

Indicates that the catalog is validated.

c. The button

Indicates that the catalog is invalid.

d. The button

Indicates that a manual validation is required. This case occurs when the difference between the quantity of products validated during the previous validation and the last one is significant.

e. Empty if the format does not use the EDI-Optic Validator.

4. Allows you to download the generated file when the program has finished successfully.

5. Date indicates the date and time of the generation.

6. Company indicates the company that exported the catalog

7.User informs about the person who generated the catalog

8. Type of product

9. Name of the catalog used

10. The generated format

11. The Version of the format (ex: R15 or R18 for an Opto11 ebXML)

12. Status determines the current status of the catalog export (in progress, completed, in error, to be checked). The To be checked status indicates that during the export the program has analyzed the catalog and tells you that data errors may be present. The report will tell you which products to check.
